Set the deadlines when the event is created

Final numbers and food-choice deadlines should be agreed before invitations go out. The organiser then sees the same dates as the venue, and reminders can be targeted at genuinely outstanding work.

Use one live guest list

A host-managed list is more reliable than sending updated spreadsheets backwards and forwards. Guests can respond individually while the organiser sees who still needs attention.

Dietary preferences can help menu planning, while allergies require a separate, explicit declaration and venue acknowledgement. They should be visible in the operational workflow and never repurposed as marketing data.

Prepare service from the same information

Once choices are complete, the kitchen and front-of-house team should receive the same final event information by guest, table and seat where relevant. That removes the final round of copying from a preorder spreadsheet into a service sheet.
